An exhibition stall on rent gives you a finished, branded stall without paying to build one from scratch. A builder supplies the structure, prints your graphics, sets everything up before the show opens and takes it away afterwards. You pay for the use of the stall for that show, not to own it.

This page explains what a rental package usually covers, how it compares with a custom stall and a shell scheme, and the questions to ask before you book. When you are ready, send one brief and Stand Supplier will pass it to up to 5 builders who rent out stalls. The quotes are free and there is no obligation. We connect you with builders; we don't rent or build stalls ourselves.

How stall rental works

Builders who rent out stalls keep a stock of reusable parts: modular frames, wall panels, counters, display units, lighting and furniture. For your show they combine these into a layout for your space, add graphics printed with your branding, and handle installation and dismantling at the venue. After the show the parts go back into stock for the next client.

A rented stall is not the same as a shell scheme. A shell scheme is the basic booth the organiser supplies with some space bookings; a rental stall is ordered from a builder of your choice and can look much more individual. Our shell scheme and Octanorm guide explains the difference in detail.

What a rental package usually includes

Packages differ from builder to builder, so always check the quote line by line. A typical package covers:

  • the stall structure, walls and header in a layout for your space size;
  • printing of your graphics, and fixing them to the walls;
  • flooring, such as carpet or a raised floor;
  • lighting and the internal wiring;
  • a counter, display units and basic furniture;
  • a lockable store or cupboard, in larger stalls;
  • transport, installation before the show and dismantling after it.

Screens, extra furniture, plants and special lighting are often available for hire as add-ons.

When renting makes sense

  • A one-off or first show, when you don't yet know whether you will return next year.
  • A show in another city, where a local builder's stock saves transport and storage.
  • Short notice, when there isn't time for a custom design, approval and fabrication.
  • A limited budget that still needs to look better than a shell scheme.

If you exhibit several times a year with the same look, compare renting with a custom or modular stall you own and store between shows.

What you can and can't change

On a rented stall you can usually choose the layout from what the builder has in stock, all graphics, the colour of some surfaces, furniture, lighting and add-ons such as screens. What is harder to get are unusual shapes, special materials and finishes that would only be used once, because the parts need to work for the next client too.

The number of open sides matters for rented stalls as much as for custom ones. See our layout guides for 2 side open and 3 side open stalls, and our exhibition stall design guide for ideas.

Questions to ask before you book

  • What exactly is included, and what is charged as an extra?
  • Who prints the graphics, and what file sizes and formats do they need?
  • Can I see photos of the actual parts and furniture, not only renders?
  • Who is responsible if something is damaged during the show?
  • When will installation be finished, and when will it be removed?
  • Who handles the organiser's paperwork for contractors, and are there any fees for it?
  • Can my graphics be kept for my next show?

What decides the cost

The quote for a rented stall depends mainly on the size of the space, the number and size of graphics, the furniture and add-ons, lighting, flooring, transport distance and the length of the show. Giving every builder the same brief, with your size, open sides, budget and must-haves, is the simplest way to compare quotes.
